Privacy Policy

OutboundQA runs launch QA on cold email infrastructure for founders, teams, and agencies. This policy explains what we collect when you use this site and book launch QA, and how we handle it.

What we collect

Information you submit. When you book launch QA or contact us, we collect what you enter: your name, work email, company or agency name, the domains and inboxes you manage, your sending tool, and your launch date.

Analytics. With your permission, PostHog helps us understand page and product usage, such as pages viewed and actions taken. Analytics tracking is off until you allow it in Cookie preferences.

Affiliate attribution. With your permission, Affonso stores a referral for up to 30 days so an approved partner can receive credit if you create an account and make an eligible purchase. The last eligible affiliate click before signup receives credit, then the referral is locked to that account.

Affiliate lead and payment events. With Affiliate consent, a successful new account registration sends the account email to Affonso through its signup tracking API so the referral can be recorded as a lead. Dodo Payments may send Affonso the purchase, subscription, renewal, cancellation, and refund information required to determine commission status. OutboundQA does not send a customer's name or email address to an affiliate.

Technical data. Like most sites, our hosting records standard request data such as IP address, browser type, and referring page.

Provider credentials. If you choose a supported Cloudflare DNS fix, the zone-scoped API token is transmitted for that preview, apply, or rollback request. OutboundQA does not store the token. We retain the provider, zone, requested action, and before-and-after DNS evidence for security, verification, and audit history.

Checks, headers, recipient lists, and reports

Public domain checks. Most free DNS checks run in your browser and send the domain to public DNS-over-HTTPS resolvers so they can return the requested records. The domain-history check sends the domain to the OutboundQA edge service, which queries certificate-transparency and public web-history sources and temporarily caches the normalized domain and response for up to 24 hours. Domain inputs are not included in product analytics events.

Message headers. When a tool asks for pasted message headers, the browser parses the header text to identify authentication and routing evidence. Do not paste message bodies or unrelated personal information. If a signed-in report saves header evidence, the report retains the evidence needed to explain the result.

Recipient lists. Workspace processing may receive recipient addresses or domains when you ask for recipient-domain preflight. The service uses them to group and check receiver-domain infrastructure. Recipient lists are not used to send campaigns and are not shared with affiliates.

Monitoring and reports. Paid workspaces retain configured assets, check evidence, verdict history, alert destinations, report access events, and remediation records so monitoring, recovery verification, and shared reports can work. A report owner controls its share link and should revoke access when it is no longer needed.

Who we share it with

We do not sell your personal information. We use PostHog for consented analytics, Affonso for consented affiliate attribution and program records, and Dodo Payments for checkout, billing, refunds, and subscription events. We also share information with service providers that help us run email, hosting, monitoring, and the service, only as needed to perform their work.

Affiliates receive aggregate referral and commission information. We do not provide customer names or email addresses to affiliates.

We may disclose information if required by law.

Data retention and your rights

We keep workspace, report, monitoring, contact, billing, security, and affiliate records for as long as needed to provide the service, meet legal and accounting duties, resolve disputes, and protect the service. Retention varies by record type and the reason it is held.

You can ask us to access, correct, export, restrict, object to, or delete personal information by emailing us. Rights depend on your location and applicable law. We may need to verify the request and retain records that law requires us to keep.

Use the Cookie preferences link in the site footer to accept, reject, or withdraw Analytics and Affiliate consent. Withdrawing consent removes optional browser tracking state under our control and stops future optional tracking on that browser.

International processing and safeguards

OutboundQA and its providers may process information in countries other than the one where you live. Provider locations and transfer mechanisms can change. Contact us for information about the providers and safeguards that apply to your information.

Security controls reduce risk but cannot make any online service completely secure. Report only infrastructure you are authorized to inspect and avoid uploading unnecessary personal information.
